Job Description:
Responsible for maintaining and reconciling records and accounts in support of the accounts payable (AP) function and providing assistance to the Accounts Payable Manager as directed. Assist with inputting AP information into the AP system. Assemble AP package with appropriate backup and distribute for approval as needed. Assist with checking invoices for completeness and duplicate payments.
Note:
There is one position available and the position will be filled at one of four job grade levels: Accounting Assistant (Accounts Payable) I, job grade 1; Accounting Assistant (Accounts Payable) II, job grade 2, Accounting Assistant (Accounts Payable) III, job grade 4; or Senior Accounting Assistant (Accounts Payable), job grade 5. This decision will be based on the qualifications and experience of the candidate selected, and Tri-State business needs at the time of hire.

Senior Accounting Assistant (Accounts Payable)
Hiring Salary Range: $65,000-$89,000
Accounting Assistant (Accounts Payable) III
Hiring Salary Range: $58,000-$76,000
Accounting Assistant (Accounts Payable) II
Hiring Salary Range: $48,000-$63,000
Accounting Assistant (Accounts Payable) I
Hiring Salary Range: $44,000-$58,000
Actual compensation offer to candidate may vary outside of the posted hiring salary range based upon work experience, education, and/or skill level.
Responsibilities:
Assist with inputting accounts payable information into the AP system.
Assemble AP package with appropriate backup and distribute for approval as needed.
Assist with checking invoices for completeness and duplicate payments.
Follow up on unmatched items, invoices without adequate backup and un-invoiced items.
Reconcile vendor statements for all types of invoices and follow up with appropriate buyer, contract analyst or requestor on unmatched items, and follow up on unpaid items.
Investigate invoices that are beyond predefined payment terms.
Determine payment date for invoices.
Calculate appropriate use tax accruals for appropriate items.
Prepare cash requirements reports for input into system.
Coordinate Communication of AP policies and procedures both internally and externally.
Monitor month end close process with AP team.
Assist AP Manager with annual 1099 process.
Verify adequacy of voucher back‑up information.
Request current data for vendor records.
Provide back up as requested to other accounting assistants.
Perform check runs and maintenance.
Monitoring and managing daily AP status to ensure invoices are processed timely and prompt pay discounts are taken.
Responsible for more high level of complex activities.
Monitor new vendor and vendor maintenance process.
Monitor vendor payment method internally and externally.
Maintain compliance with all company policies and procedures and attain knowledge and remain knowledgeable of regulations, laws, standards, and best practices applicable to functional area.
Because Tri-State has an obligation to provide continuous, reliable electric service to its customers, the ability to work overtime at any time of the day or week is considered an essential function of the job.
Qualifications:
Education and Training
- Associate degree in accounting or related area, or equivalent combination of education and/or experience.
Knowledge, Skills, and Ability:
Proficiency in using calculator and familiarity with other related office equipment.
Strong working knowledge of accounting methods and procedures.
Working knowledge of personal computers and spreadsheets software.
Ability to perform detail work with high degree of accuracy.
Ability to maintain effective working relationships.
Ability to communicate effectively, both verbally and in writing.
